Tackling Child Welfare Burnout with Dedicated Caseworker Support
Morgan County DJFS is improving caseworker well-being, boosting efficiency, and increasing family engagement.
Challenges
Like most agencies, staff at Morgan County DJFS faced several challenges, including:
- High caseworker burnout and turnover
- Time-consuming administrative tasks
- Limited time for family engagement
- Difficulty meeting case mandates
“Prior to Case Aide Services, caseworkers had a hard time meeting case mandates and the required time frames. Due to the amount of time workers were spending in the field, they often lacked time to complete necessary administrative tasks. This often led staff to become overwhelmed, which contributed to an increase in burnout,” said Kari Schaad, social services supervisor.
Solution
Morgan County DJFS partnered with Northwoods to implement Case Aide Services, providing caseworkers with dedicated support for administrative tasks.
“Case Aide Services helps caseworkers know that they are not alone in the process and aren’t burdened by some of the support work that needs done. By getting help with administrative tasks, it allows the caseworkers to spend more time with families and build better relationships. This makes the workplace more friendly and helps retain employees,” said Heidi Burns, director.
Workers also benefit from using Traverse®, Northwoods’ document management software, to store and share case information with their Case Aide team and to integrate with Ohio’s Statewide Automated Child Welfare Information System (SACWIS).
“Staff have been able to use Case Aide Services to obtain records, make referrals, follow up with providers, and enter documentation into SACWIS and Traverse,” Kari said.
The Case Aide Services team assists Morgan County staff with the following services:
- Record Requests: Handle the entire process of requesting medical, educational, and counseling records, including follow-up and organization.
- Document and Data Processing: Enter data into SACWIS and Traverse, update case files, and create activity logs.
- Case Summaries: Create summaries of case history and ongoing activities to help new caseworkers or workers taking over an existing case.
- Referral Support: Initiate and complete referrals for services and submit the necessary documentation to providers.
- Visit Documentation: Transcribe interviews and summarize home visits from voice recordings as well as follow-up with families to obtain signatures.

Results
By providing Case Aide Services, Morgan County JFS has successfully addressed key challenges related to caseworker burnout, efficiency, and family engagement.
“Case Aide Services has reduced the overall workload for staff members,” said Kari. “Case Aides are able to complete tasks on the caseworkers to do list, which alleviates stress and reduces their administrative burden.”
Improving caseworker well-being and retention.
Case Aide Services has helped alleviate caseworker burnout, improve morale, and create a more sustainable workforce by reducing overtime hours. Staff feel more supported and less overwhelmed, leading to a more positive and productive work environment.
“Knowing that you have Case Aides waiting for you to email them for help is really reassuring and has lowered my stress level,” said Sidney Forbes, caseworker.
Increasing case efficiency, allowing more time for family engagement.
With the help of Case Aides, caseworkers are now able to complete investigations and meet deadlines more effectively.
“By adding Case Aide Services to our agency, that has helped our investigation timeliness by 44%,” Heidi said.
By minimizing paperwork, caseworkers can dedicate more time to connect with families, foster meaningful relationships, and deliver personalized support and resources.
“I have more time to go out and do more home visits, meet with the family, and talk to them on the phone. I am able to focus on them and not the paperwork,” said Josie Wells, social services worker II.
Enhancing agency efficiency and morale with the right partner.
Heidi said the agency decided to move forward with Northwoods and Case Aide Services because they were looking for ways to improve the agency and morale, which Case Aide Services helped accomplish.
“Northwoods has been very helpful every step of the way and has listened to all of our needs. Northwoods is very knowledgeable in the JFS world, and that makes this partnership even more helpful.”
Heidi shared Case Aide Services played a pivotal role in achieving their agency’s goal of being a relationship-based organization by freeing up valuable time to nurture those essential connections.
“Case Aide Services has assisted staff in managing their caseloads more effectively, which in turn has led to more successful outcomes for families,” said Kari.
